Key Responsibilities
- Manage complex calendars, schedule meetings, and coordinate appointments for assigned team members.
- Arrange domestic and international travel logistics, including flights, accommodation, and ground transportation.
- Prepare and submit expense reports, ensuring accuracy and compliance with company policies.
- Organize and coordinate internal and external meetings, including preparing agendas, taking minutes, and distributing materials.
- Assist in the preparation of presentations, reports, and other documents, often utilizing Microsoft Office Suite and occasionally Adobe Creative Cloud applications.
- Order and maintain office supplies, manage inventory, and ensure the workspace is organized and functional.
- Serve as the primary point of contact for administrative inquiries, both internal and external.
- Handle confidential information with discretion and professionalism.
- Support new hire onboarding processes and assist with general office administration tasks.
- Facilitate communication within the team and across departments.
- Assist with special projects and initiatives as assigned, demonstrating flexibility and adaptability.
Required Skills
- Minimum of 3 years of administrative assistant experience in a corporate environment.
- Exceptional organizational and time management skills with a keen eye for detail.
- Strong written and verbal communication skills in both English and French (bilingualism is mandatory for Quebec City).
- Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Demonstrated ability to handle multiple tasks simultaneously and prioritize effectively.
