Key Responsibilities
- Manage and organise office calendars, scheduling meetings, appointments, and travel arrangements for team members.
- Prepare and edit correspondence, reports, presentations, and other documents, ensuring accuracy and adherence to company standards.
- Maintain accurate and up-to-date filing systems, both digital and physical, ensuring easy retrieval of information.
- Handle incoming and outgoing communications, including emails, phone calls, and mail, directing them appropriately.
- Assist with data entry and maintain databases with precision and confidentiality, ensuring data integrity.
- Coordinate office supplies and equipment, ensuring adequate stock levels and timely procurement.
- Support team members with various administrative tasks as required, adapting to changing priorities.
- Process invoices, expense reports, and other financial documentation in compliance with company policies.
- Organise and prepare for internal and external meetings, including setting up meeting rooms and arranging refreshments.
- Act as a first point of contact for visitors and internal enquiries, providing professional and courteous assistance.
- Contribute to a positive and productive team environment by collaborating effectively with colleagues.
Required Skills
- Proven experience in an administrative support role (minimum 12 months).
- Excellent written and verbal communication skills, with a professional phone manner.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
- Strong organisational and time management abilities, capable of prioritising tasks effectively.
- High level of attention to detail and accuracy in all work performed.
