Key Responsibilities

  • Manage and direct incoming calls and correspondence (emails, letters, packages), ensuring timely and appropriate responses.
  • Organize and maintain physical and electronic filing systems, ensuring data accuracy, security, and easy retrieval.
  • Schedule and coordinate meetings, appointments, and travel arrangements for team members and management, including preparing agendas and taking minutes.
  • Prepare and edit professional documents, presentations, and reports, ensuring accuracy, consistency, and adherence to company standards.
  • Assist with office supply inventory management, procurement, and distribution, ensuring adequate stock levels.
  • Support various departments with ad-hoc administrative tasks and special projects as required, demonstrating flexibility and adaptability.
  • Maintain a welcoming, professional, and organized office environment, including managing reception duties and greeting visitors when necessary.
  • Process invoices, expense reports, and other financial documentation in coordination with the finance department, ensuring timely submission and accuracy.
  • Ensure compliance with company policies and procedures in all administrative functions, maintaining a high level of integrity and discretion.

Required Skills

  • Proven experience (minimum 1 year) in an administrative support role, preferably in a corporate environment.
  • Excellent verbal and written communication skills in both English and French.
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) for document creation and data management.
  • Strong organizational and time management abilities with a keen eye for detail and accuracy.
  • Ability to prioritize tasks effectively, manage multiple deadlines, and work independently with minimal supervision.
