Job Description
We are seeking a highly organized, proactive, and discreet Administrative Secretary to support our executive leadership team at our Shelton, CT headquarters. This pivotal role, often referred to as an Executive Desk, requires an individual with exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast-paced corporate environment. You will be instrumental in ensuring the smooth daily operations of the executive office, handling sensitive information with utmost confidentiality, and serving as a primary point of contact for internal and external stakeholders. Key Responsibilities
- Provide comprehensive administrative and secretarial support to assigned senior executives, including managing complex calendars, scheduling meetings, and coordinating travel arrangements (domestic and international).
- Prepare and edit professional correspondence, presentations, reports, and other documents, ensuring accuracy, proper formatting, and adherence to company standards.
- Act as a gatekeeper, screening calls, emails, and visitors, and proactively resolving inquiries or redirecting them to appropriate personnel.
- Organize and maintain physical and electronic filing systems for confidential and proprietary information, ensuring easy retrieval and compliance with data retention policies.
- Coordinate and prepare for executive meetings, including agenda development, material compilation, minute-taking, and distribution of follow-up actions.
- Process expense reports, invoices, and other financial documentation with precision and in a timely manner, adhering to company financial guidelines.
- Assist with special projects, research, and data gathering as directed by the executives, often involving cross-functional collaboration and independent problem-solving.
Required Skills
- Minimum of 5 years of administrative support experience, with at least 2 years directly supporting senior-level executives.
- Exceptional proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other standard office software.
- Demonstrated ability to handle confidential information with the highest level of discretion and integrity.
- Superior organizational and time management skills, with the capacity to prioritize tasks effectively under pressure.
- Excellent written and verbal communication skills, with a professional demeanor and strong interpersonal abilities.
- Proactive problem-solving skills and a strong sense of initiative.
Preferred Qualifications
- Associate's or Bachelor's degree in Business Administration, Communications, or a related field.
