Job Description

We are seeking a highly organized, personable, and proactive Administrative Receptionist to be the welcoming face and voice of our Downtown Clayton office. This essential on-site role is pivotal in creating a positive first impression for our clients, partners, and visitors, both in person and over the phone. As the Administrative Receptionist, you will manage our front desk operations, provide comprehensive administrative support, and ensure the smooth flow of daily activities within the office. You will be responsible for a wide array of tasks that require exceptional multitasking abilities, meticulous attention to detail, and a professional demeanor. Key Responsibilities

  • Warmly greet and welcome clients, visitors, and vendors, directing them to the appropriate person or meeting room.
  • Manage a multi-line phone system, directing calls efficiently, taking detailed messages, and ensuring prompt follow-up.
  • Schedule and coordinate meetings, appointments, and conference room bookings for attorneys and staff.
  • Handle incoming and outgoing mail, packages, and deliveries, ensuring proper distribution and postage.
  • Maintain the reception area and common spaces, ensuring they remain tidy, organized, and presentable.
  • Provide administrative support to various departments, including data entry, filing, scanning, and document preparation.
  • Manage office supplies inventory, place orders, and ensure supplies are adequately stocked.
  • Assist with basic IT troubleshooting or liaise with IT support for immediate resolution.
  • Handle confidential information with discretion and professionalism.
  • Assist with special projects and other duties as assigned by office management.

Required Skills

  • Proven experience (1+ year) in a reception or administrative support role.
  • Exceptional verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • Professional and friendly demeanor with a strong customer service orientation.
  • Ability to multitask and work efficiently under pressure in a dynamic environment.
  • High level of discretion and ability to handle confidential information.
  • Reliable and punctual with a strong work ethic.
