Key Responsibilities
- Warmly greet and welcome clients and visitors, ensuring a positive first impression of the firm.
- Answer and direct incoming calls with professionalism, managing a multi-line phone system.
- Schedule and confirm appointments, meetings, and consultations for attorneys.
- Manage incoming and outgoing mail, faxes, and deliveries, ensuring timely distribution.
- Maintain an organized and tidy reception area and common office spaces.
- Perform data entry, document scanning, filing, and maintain client records with strict confidentiality.
- Assist with basic accounting tasks, such as processing invoices and managing petty cash.
- Monitor and order office supplies, ensuring adequate stock levels.
- Provide administrative support to legal staff, including drafting correspondence, preparing documents, and transcribing dictation when required.
- Manage electronic and physical filing systems for efficient document retrieval.
- Coordinate conference room bookings and assist with meeting setup.
- Handle client inquiries and direct them to the appropriate legal professional or department.
Required Skills
- Proven experience as a Receptionist, Administrative Assistant, or similar role (1+ year).
- Exceptional verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and time management abilities.
