Fairwater House Care Home is seeking a dedicated Administrative Officer to join our vibrant team in Fairwater, Cardiff. As our Administrative Officer, you will be the backbone of our office operations, playing a crucial role in ensuring the smooth and efficient running of our care home. Key Responsibilities
- Manage and maintain accurate resident and staff records, ensuring data protection compliance.
- Act as the primary point of contact for telephone, email, and in-person inquiries, directing them appropriately.
- Provide comprehensive administrative support to the Care Home Manager and other departmental leads.
- Coordinate and schedule appointments, meetings, and events for residents and staff.
- Process incoming and outgoing correspondence, including postal and electronic communications.
- Assist with HR administrative tasks, including onboarding documentation and managing personnel files.
- Support the recruitment process, particularly in relation to visa sponsorship documentation and liaising with international candidates.
- Manage office supplies, equipment, and ensure a tidy and organised administrative area.
- Assist with financial administration tasks such as invoicing, petty cash management, and expense reports.
- Ensure compliance with all internal policies, as well as external regulatory and legal requirements relevant to care settings.
- Liaise with external stakeholders including healthcare professionals, suppliers, and community services.
Required Skills
- Proven experience in an administrative or office support role (minimum 2 years).
- Excellent verbal and written communication skills with a professional and empathetic approach.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organisational skills with the ability to prioritise tasks and manage time effectively.
- Exceptional attention to detail and accuracy in record-keeping and data entry.
- Ability to work independently and as part of a team in a fast-paced environment.
- Demonstrable problem-solving skills and a proactive attitude.
- Eligibility for UK visa sponsorship and a genuine interest in relocating to Fairwater, Cardiff.
Preferred Qualifications
- Previous administrative experience within a healthcare, social care, or similar care home setting.
- Knowledge of basic HR processes and an understanding of UK immigration requirements for skilled workers.
- Relevant administrative qualification (e.g., NVQ Level 3 in Business Administration or equivalent).
- Experience with CRM systems or bespoke care management software.
