Key Responsibilities

  • Manage and maintain accurate physical and electronic filing systems, ensuring data integrity and easy retrieval.
  • Handle incoming and outgoing correspondence, including emails, memos, and reports, ensuring timely and professional communication.
  • Prepare, proofread, and format various documents, presentations, and spreadsheets with high attention to detail.
  • Coordinate and schedule meetings, appointments, and travel arrangements for department personnel.
  • Process invoices, expense reports, and other financial documentation, ensuring compliance with company policies.
  • Order and maintain office supplies, ensuring adequate stock levels and managing vendor relationships.
  • Assist with data entry, database management, and information compilation for various internal reports.
  • Support onboarding processes for new employees, including preparing workstations and necessary documentation.
  • Act as a central point of contact for internal inquiries, directing them to the appropriate department or individual.
  • Implement and maintain office procedures and systems to improve efficiency and workflow.
  • Maintain strict confidentiality of sensitive information and company records.
  • Collaborate with other administrative staff to ensure seamless support across departments.

Required Skills

  • Proven experience as an Administrative Coordinator, Office Administrator, or similar role (minimum 2 years).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional organizational and time management skills with the ability to prioritize tasks effectively.
  • Strong verbal and written communication skills.
  • High degree of accuracy and attention to detail.
  • Ability to work independently with minimal supervision and as part of a team.
  • Discretion and experience handling confidential information.
  • Problem-solving aptitude and ability to take initiative.

Preferred Qualifications

  • Associate’s or Bachelor’s degree in Business Administration or a related field.
  • Experience with enterprise resource planning (ERP) systems (e.g., SAP) or similar business software.
  • Familiarity with the manufacturing or flooring industry.
  • Experience in a fast-paced corporate environment.
