Key Responsibilities
- Manage complex calendars, scheduling meetings, appointments, and multi-leg travel arrangements for senior team members.
- Prepare and edit professional correspondence, detailed reports, engaging presentations, and other critical documents.
- Organize and maintain highly sensitive physical and electronic filing systems, ensuring quick retrieval and compliance.
- Coordinate and facilitate internal and external meetings, including setting up technology, preparing comprehensive agendas, distributing pre-read materials, and documenting minutes.
- Accurately process expense reports, invoices, and other financial documentation in accordance with company policies.
- Act as a primary point of contact for internal and external inquiries, directing them appropriately and providing timely information.
- Assist with special projects and initiatives as needed, conducting research, compiling data, and generating reports.
- Order and maintain office supplies and equipment, ensuring optimal inventory levels and functionality.
- Support team members with various administrative tasks, ensuring efficient workflow and collaborative success.
- Maintain strict confidentiality of sensitive business and personal information at all times.
Required Skills
- Proven experience (2+ years) as an Administrative Assistant, Executive Assistant, or similar role in a corporate setting.
- Exceptional organizational and time management skills with meticulous attention to detail.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with collaboration platforms.
- Excellent written and verbal communication skills, with the ability to articulate clearly and professionally.
