Key Responsibilities

  • Manage and maintain calendars, schedule appointments, and coordinate meetings for team members.
  • Prepare and edit correspondence, reports, presentations, and other documents with meticulous attention to detail.
  • Handle incoming calls and direct them appropriately, providing exceptional customer service and a welcoming first impression.
  • Organize and maintain physical and electronic filing systems, ensuring confidentiality, data security, and easy retrieval.
  • Process and track invoices, expense reports, and other financial documentation accurately.
  • Order and maintain office supplies, ensuring adequate stock levels to prevent disruptions.
  • Assist with the preparation of meeting agendas, take accurate minutes, and distribute follow-up actions promptly.
  • Coordinate travel arrangements and accommodations for staff as needed, managing logistics efficiently.
  • Support new employee onboarding by preparing workspaces and necessary documentation, ensuring a smooth transition.
  • Perform general office duties such as photocopying, scanning, and mailing.
  • Collaborate with various departments to ensure seamless operational flow and support inter-departmental projects.
  • Act as a point of contact for internal and external stakeholders, representing AdventHealth professionally and courteously.

Required Skills

  • Minimum of 2 years of experience in an administrative support role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office software.
  • Exceptional organizational and time management skills, with the ability to manage multiple priorities simultaneously.
  • Strong written and verbal communication abilities, capable of clear and concise articulation.
  • Proven ability to multitask and prioritize effectively in a busy, dynamic environment.
  • High level of accuracy and meticulous attention to detail in all tasks.
  • Ability to maintain confidentiality and handle sensitive information with utmost discretion and integrity.
