Key Responsibilities
- Manage and maintain calendars, schedule appointments, and coordinate meetings, including booking rooms and preparing necessary materials.
- Organize and prepare presentations, reports, and other documents using various office software.
- Handle incoming and outgoing correspondence, including emails and physical mail, ensuring timely and professional responses.
- Assist with travel arrangements and expense reports for team members.
- Maintain organized physical and digital filing systems.
- Support team projects and initiatives by performing research, data entry, and other ad-hoc administrative tasks.
- Order and maintain office supplies, ensuring the team has the resources needed to operate effectively.
- Act as a primary point of contact for internal and external queries, redirecting as appropriate.
- Foster a positive and efficient working environment through proactive support and clear communication.
- Assist in onboarding new team members by preparing necessary documentation and resources.
Required Skills
- Proven experience (1+ year) in an administrative or office support role.
- Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) or Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time management skills with the ability to prioritize tasks effectively.
- Strong written and verbal communication skills in English (C1 level or equivalent).
- A high degree of proactivity, reliability, and attention to detail.
- Ability to work independently and as part of a team.
- Discretion and confidentiality when handling sensitive information.
Preferred Qualifications
- Fluency in German (B2 level or higher) is a significant plus.
