Job Description
We are seeking a highly motivated, organized, and experienced Administrative Assistant to support our Executive Office in Lubumbashi. This critical role serves as the backbone of our executive operations, ensuring seamless day-to-day administrative functions and providing comprehensive support to senior leadership. The Administrative Assistant will be responsible for managing a wide array of tasks, from complex calendar management and travel arrangements to preparing confidential documents and coordinating high-level meetings. Key Responsibilities
- Manage and maintain executive calendars, including scheduling appointments, meetings, and conferences.
- Coordinate extensive domestic and international travel arrangements, including flights, accommodation, and ground transportation.
- Prepare and edit correspondence, communications, presentations, and other documents for executive review.
- Organize and facilitate executive meetings, including preparing agendas, taking minutes, and distributing meeting materials.
- Handle confidential information with the utmost discretion and integrity.
- Act as a primary point of contact for internal and external stakeholders interacting with the executive office.
- Process expense reports, invoices, and other financial documentation accurately and in a timely manner.
- Maintain an organized filing system for critical documents, both physical and electronic.
- Assist with special projects and research assignments as directed by the executive team.
- Ensure the executive office is well-stocked with necessary supplies and equipment, managing procurement as needed.
Required Skills
- Minimum of 3 years of proven experience as an Administrative Assistant or Executive Assistant, preferably in a corporate environment.
- Exceptional organizational and time management skills with the ability to prioritize multiple tasks effectively.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong written and verbal communication skills in English and French.
- Demonstrated ability to maintain high levels of confidentiality and exercise sound judgment.
- Proactive, self-motivated, and detail-oriented with a strong sense of responsibility.
- Ability to work independently with minimal supervision and collaboratively within a team.
- Excellent interpersonal skills and a professional demeanor.
Preferred Qualifications
- Bachelor's degree in Business Administration, Secretarial Studies, or a related field.
- Experience working within the financial services industry.
- Fluency in Swahili.
- Familiarity with project management tools and methodologies.
