Key Responsibilities
- Manage and maintain complex calendars, schedule appointments, and coordinate meetings (internal and external) for supported leaders and teams.
- Prepare, edit, and proofread documents, presentations, reports, and correspondence, ensuring accuracy and adherence to company standards.
- Organize and maintain physical and electronic filing systems, ensuring efficient retrieval of information.
- Coordinate domestic and occasional international travel arrangements, including flights, hotels, and ground transportation, and process expense reports.
- Act as a primary point of contact, screening calls and emails, and directing inquiries to the appropriate parties with professionalism and discretion.
- Facilitate communication flow within the team and across departments, relaying information accurately and promptly.
- Order and manage office supplies, equipment, and other resources, ensuring the team has necessary tools for productivity.
- Assist with special projects, research tasks, and event planning as needed, demonstrating initiative and adaptability.
- Maintain strict confidentiality with sensitive information and handle all tasks with integrity and discretion.
Required Skills
- Minimum of 2-3 years of proven experience as an Administrative Assistant or Executive Assistant.
- High school diploma or equivalent; Associate's degree preferred.
- Exceptional proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Excellent written and verbal communication skills, with a keen eye for detail and grammar.
- Superior organizational and time management skills, with the ability to multitask and prioritize effectively.
- Strong interpersonal skills and a professional demeanor, capable of interacting with diverse individuals at all levels.
- Demonstrated ability to maintain confidentiality and exercise sound judgment.
- Proactive problem-solver with a strong sense of urgency and ability to anticipate needs.
