Job Description
We are seeking a highly organized and proactive Part-Time Property Management Assistant to join our dedicated team in Kuala Lumpur. This role is ideal for an individual who thrives in a fast-paced environment and possesses exceptional administrative skills, coupled with a strong interest in the property management sector. As a Property Management Assistant, you will play a crucial role in ensuring the smooth and efficient operation of our property portfolio, providing essential support to our Property Managers. Your contributions will directly impact tenant satisfaction and the overall success of our managed properties. This position offers a fantastic opportunity to gain hands-on experience in the real estate industry with a reputable developer, working approximately 20-25 hours per week, with some flexibility in scheduling. Key Responsibilities
- Assist Property Managers with daily administrative tasks, including correspondence, scheduling, and record-keeping.
- Maintain accurate and up-to-date tenant files, property records, and vendor contracts.
- Act as a primary point of contact for tenant inquiries, concerns, and maintenance requests, ensuring timely resolution and excellent customer service.
- Coordinate with vendors, contractors, and maintenance teams for property repairs, inspections, and projects.
- Prepare and distribute notices, circulars, and other communications to tenants and stakeholders.
- Assist in the preparation of reports, budgets, and financial statements related to property operations.
- Conduct basic property inspections and walk-throughs to identify maintenance needs or potential issues.
- Support the leasing process by assisting with viewings, application processing, and lease agreement preparation.
Required Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent written and verbal communication skills in English and Bahasa Malaysia.
- Strong organizational skills and attention to detail.
- Ability to multitask and prioritize tasks effectively in a dynamic environment.
- Proactive attitude and strong problem-solving abilities.
- Customer service-oriented mindset.
Preferred Qualifications
- Prior experience in property management, real estate, or administrative roles is a plus.
- Diploma or certification in Real Estate, Business Administration, or a related field.
- Familiarity with property management software (e.g., Yardi, AppFolio) is advantageous.
- Ability to work independently as well as part of a team.
