Key Responsibilities

  • Warmly greet all clients upon arrival and departure, creating a welcoming and sophisticated atmosphere.
  • Efficiently manage all aspects of client bookings, cancellations, and rescheduling using our spa management software.
  • Handle telephone calls, emails, and in-person inquiries professionally, providing accurate information about treatments, products, and promotions.
  • Process payments accurately and securely, managing the till and daily reconciliation procedures.
  • Maintain the cleanliness, organisation, and aesthetic appeal of the reception area, ensuring it reflects our luxury brand standards.
  • Assist clients with product recommendations and retail purchases, demonstrating excellent product knowledge and sales skills.
  • Liaise effectively with therapists and practitioners to ensure a smooth flow of appointments and client transitions.
  • Manage client records with discretion and accuracy, upholding confidentiality at all times.
  • Address client feedback and resolve any service issues promptly and courteously, escalating when necessary.
  • Support general spa operations, including opening and closing procedures, stock management, and administrative tasks as required.

Required Skills

  • Proven experience in a customer-facing role, preferably within hospitality, retail, or a similar service industry.
  • Exceptional verbal and written communication skills with a polished and professional phone manner.
  • Strong organisational skills and the ability to multitask effectively in a busy environment.
  • Proficiency in using computerised booking systems and standard office software.
  • Excellent cash handling and basic accounting skills.
  • A positive attitude, proactive approach, and a strong sense of teamwork.

Preferred Qualifications

  • Previous experience as a Spa Receptionist or in a luxury hotel/salon environment.

  • Experience in retail sales within the beauty or wellness sector.
  • NVQ Level 2 or equivalent in Customer Service or Business Administration.
