Key Responsibilities

  • Provide comprehensive administrative support to the Occupational Health Services team, including scheduling appointments, managing calendars, and coordinating meetings.
  • Maintain accurate and confidential employee health records and databases, ensuring data integrity and adherence to privacy regulations (e.g., FOIP, HIPAA).
  • Assist with the preparation of various reports, presentations, and correspondence related to occupational health programs and initiatives.
  • Respond to internal and external inquiries in a professional and timely manner, directing complex issues to appropriate team members.
  • Support the coordination of occupational health programs, such as immunization campaigns, return-to-work programs, and wellness initiatives.
  • Order and maintain office supplies, manage incoming and outgoing mail, and ensure the smooth operation of the office environment.
  • Collaborate with other administrative staff and departmental teams to ensure seamless information flow and operational efficiency.
  • Assist with onboarding processes for new employees regarding occupational health requirements.
  • Contribute to the continuous improvement of administrative processes and workflows within the department.

Required Skills

  • High school diploma or equivalent.
  • Exceptional organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong written and verbal communication skills.
  • Ability to maintain strict confidentiality and handle sensitive information discreetly.
  • Excellent interpersonal skills with a professional and client-focused approach.
  • Ability to work effectively both independently and as part of a team.
  • Demonstrated problem-solving abilities and a proactive attitude.

Preferred Qualifications

  • Post-secondary education in Office Administration, Medical Office Assistant, or a related field.
  • Previous administrative experience in a fast-paced office environment, preferably in healthcare.
  • Familiarity with medical terminology or health information systems.
  • Experience working in a unionized environment.
