As an Office Clerk specializing in Filing & Records, you will be instrumental in ensuring the smooth flow of information within our branch. Your primary responsibility will involve the systematic organization, storage, and retrieval of various banking documents, client files, and administrative records. This includes everything from client agreements and transaction slips to internal memos, human resource documents, and regulatory reports. You will work closely with different departments, providing essential support that underlies our operational efficiency and regulatory adherence. Key Responsibilities

  • Manage and organize physical and digital files, including creating new files, updating existing records, and archiving inactive documents.
  • Implement and maintain efficient filing systems to ensure easy retrieval of documents.
  • Ensure the strict confidentiality and security of all client and bank records.
  • Scan, photocopy, and bind documents as required for various departments.
  • Assist with data entry and verification, maintaining accuracy in all data-related tasks.
  • Retrieve documents upon request from authorized personnel, ensuring proper tracking.
  • Adhere to company policies and regulatory guidelines regarding document retention and destruction.
  • Support general office administration tasks, including managing office supplies related to filing, and assisting with mail distribution.
  • Identify and correct discrepancies in records, ensuring data integrity.
  • Participate in periodic audits of filing systems and records to maintain compliance.

Required Skills

  • Proven experience in an administrative or office clerk role, ideally with a focus on records management.
  • High school diploma or equivalent.
  • Exceptional organizational and time management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong attention to detail and accuracy.
  • Ability to handle confidential information with discretion and integrity.
  • Excellent communication skills, both written and verbal.

Preferred Qualifications
