Key Responsibilities
- Coordinate all administrative aspects of assigned academic programs, including scheduling, curriculum updates, and resource allocation.
- Act as the primary point of contact for program-related inquiries from students, faculty, and internal departments, ensuring timely and accurate responses.
- Manage student records, including admissions data, course registrations, grades, and graduation requirements, ensuring strict accuracy and confidentiality.
- Support faculty with administrative tasks such as preparing course materials, managing online learning platforms (e.g., D2L Brightspace), and coordinating virtual meetings and workshops.
- Assist in the planning and execution of program events, information sessions, and orientation activities, adapting to remote delivery as needed.
- Prepare and disseminate clear, concise program communications, announcements, and critical updates to relevant stakeholders through various digital channels.
- Monitor program budgets and expenditures, processing invoices, expense claims, and reimbursements in adherence to institutional policies.
- Collect, organize, and analyze program data to support reporting, accreditation processes, and continuous improvement initiatives.
- Maintain comprehensive digital filing systems and databases, ensuring easy access to program information and adherence to data security protocols.
- Collaborate effectively with other SAIT departments, including Admissions, Registrar, Student Services, and IT, to resolve issues and enhance overall program delivery and student experience.
Required Skills
- Demonstrated proficiency in administrative support, with at least 4 years of experience, preferably within an academic or educational setting.
- Exceptional organizational and time management skills, with a proven ability to manage multiple priorities and deadlines effectively in a remote work environment.
- Outstanding written and verbal communication skills, with a keen eye for detail and the ability to articulate complex information clearly.
- Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and extensive experience with virtual collaboration tools (e.g., Microsoft Teams, Zoom).
- Strong interpersonal skills and the ability to build and maintain effective working relationships with diverse stakeholders remotely.
- Proven ability to work independently and as an integral part of a team, exercising sound judgment, initiative, and problem-solving capabilities.
