Job Description
Boundbrook Primary School is seeking a highly organized, detail-oriented, and proactive School Administrator to oversee our office operations and manage all student and school records. This pivotal role is at the heart of our daily operations, ensuring the smooth and efficient functioning of the school administrative office. The successful candidate will be the first point of contact for parents, students, staff, and external visitors, representing the welcoming and professional image of our school.
Your primary responsibilities will encompass comprehensive records management, including student enrollment, attendance, academic performance, disciplinary actions, and staff records, all maintained with the utmost confidentiality and accuracy. You will be instrumental in managing school correspondence, scheduling appointments, preparing reports, and facilitating communication between various stakeholders. This role requires exceptional organizational skills to handle multiple tasks simultaneously, from managing school supplies and inventories to assisting with event planning and logistical support for school activities.

Key Responsibilities
- Manage and maintain all student records, including enrollment, attendance, academic progress, and disciplinary actions, ensuring accuracy and confidentiality.
- Oversee general office administration, including managing incoming calls, emails, and physical mail, greeting visitors, and maintaining a tidy and welcoming front office.
- Process and organize school-related documentation, reports, and correspondence for the Principal, teachers, and other staff members.
- Assist with the preparation of various school reports, newsletters, and official communications to parents, guardians, and external bodies.
- Manage school supplies inventory, place orders, and ensure efficient distribution to relevant departments.
- Coordinate and schedule meetings, appointments, and school events, providing logistical support as needed.
- Facilitate effective communication channels between students, parents, teachers, and school leadership.
- Administer basic first aid and manage student welfare records in coordination with school staff.
- Assist in the preparation of school budgets, tracking expenditures, and managing petty cash.
- Maintain personnel records for teaching and non-teaching staff, including leave applications and professional development documentation.
- Ensure compliance with all relevant educational policies, regulations, and data protection guidelines.
- Support the Principal and teaching staff with administrative tasks to enhance the overall educational environment.
Required Skills
- Minimum of a Diploma in Business Administration, Office Management, or a related field.
- Proven experience (2+ years) in an administrative or office management role, preferably within an educational setting.
- Exceptional organizational and time management skills with the ability to prioritize tasks effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office software.
- Excellent written and verbal communication skills in English.
- Strong interpersonal skills with the ability to interact professionally with diverse stakeholders.
- High level of discretion and ability to handle confidential information with integrity.
- Attention to detail and accuracy in record-keeping and data entry.
Preferred Qualifications
- Bachelor's Degree in Business Administration, Education Management, or a related discipline.
- Experience with school management software or student information systems (e.g., SIMS, RenWeb).
- Familiarity with the Jamaican education system and its administrative requirements.
