Job Description
We are seeking a highly motivated and detail-oriented Junior HR Officer with a specific focus on employee records management to join our vibrant Human Resources team. This assistant role is ideal for an enthusiastic individual looking to build a career in HR, with a foundational understanding of data integrity and administrative excellence. In this critical support function, you will be instrumental in maintaining the accuracy, confidentiality, and accessibility of all employee-related data, ensuring compliance with company policies and legal regulations. You will work closely with the broader HR team to support various initiatives, but your primary responsibility will revolve around the meticulous handling of personnel files, HR information systems, and data reporting. Key Responsibilities
- Maintain accurate and up-to-date physical and digital employee records, including personal details, contracts, performance reviews, training records, and leave requests.
- Ensure strict adherence to data protection regulations and company policies regarding employee confidentiality.
- Assist with the onboarding and offboarding processes by preparing necessary documentation and updating HR systems.
- Process HR-related documentation, such as new hire paperwork, changes in employment status, and terminations.
- Generate routine HR reports and statistics as required by management or other departments.
- Respond to employee inquiries regarding HR policies, procedures, and personal records, escalating complex issues when necessary.
- Support the HR team in various administrative tasks, including scheduling meetings, organizing HR events, and preparing presentations.
- Assist in auditing HR records to ensure completeness and compliance.
- Collaborate with other departments to gather necessary information for record updates.
- Proactively identify areas for process improvement in records management and data handling.
Required Skills
- Bachelor's degree or HND in Human Resources, Business Administration, or a related field.
- Proven ability to maintain confidentiality and handle sensitive information with discretion.
- Excellent organizational skills and a strong attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong verbal and written communication skills.
- Ability to work effectively both independently and as part of a team.
- Basic understanding of HR principles and best practices.
- Demonstrated ability to manage multiple tasks and prioritize effectively in a dynamic environment.
Preferred Qualifications
- Previous internship or entry-level experience in an HR or administrative role.
- Familiarity with HR Information Systems (HRIS) or similar database management tools.
- Knowledge of Nigerian labor laws and employment regulations.
- Relevant certification in Human Resources (e.g., CIPM Associate).
- Experience in the FinTech or technology sector.
