We are seeking a meticulous and dedicated Medical Records Clerk to join our team at the Falmouth Health Centre. Key Responsibilities

  • Accurately file, retrieve, and maintain patient medical records in both physical and electronic formats, ensuring proper indexing and organization.
  • Perform data entry of patient information, diagnoses, treatments, and other relevant medical data into the health centre's record systems.
  • Ensure strict confidentiality and security of all patient health information (PHI) in accordance with established privacy regulations and centre policies.
  • Assist healthcare providers and administrative staff with timely retrieval of patient charts and information as requested for appointments, consultations, and emergencies.
  • Audit medical records for completeness, accuracy, and adherence to documentation standards, flagging discrepancies for resolution.
  • Prepare new patient charts and update existing records with current demographic and medical information.
  • Manage the archiving and purging of inactive records according to the centre's retention policies.
  • Respond to requests for medical records from authorized personnel, ensuring proper authorization and documentation are in place.
  • Provide administrative support, including answering phones, scheduling appointments, and managing correspondence related to medical records.
  • Participate in ongoing training and professional development related to medical records management, data privacy, and healthcare technology.

Required Skills

  • Proficiency in data entry and strong typing skills (minimum 45 WPM).
  • Exceptional organizational skills and attention to detail.
  • Proven ability to maintain strict confidentiality of sensitive information.
  • Strong verbal and written communication skills.
  • Competency in using basic office software (e.g., Microsoft Word, Excel).
  • Ability to work efficiently both independently and as part of a team.
  • Basic understanding of medical terminology and healthcare processes.

Preferred Qualifications

  • Certificate or Diploma in Medical Records Management, Office Administration, or a related field.
  • Previous experience (at least 1 year) in a medical records department or healthcare administrative role.
  • Familiarity with electronic medical record (EMR) systems.
  • Knowledge of Jamaican healthcare data management and privacy regulations.
