As a Procurement Clerk, you will be an integral part of our supply chain department, serving as a critical ordering assistant and primary point of contact for a range of suppliers. Your work will directly impact our efficiency and effectiveness, from processing purchase orders to maintaining meticulous records and assisting in supplier relationship management. This role demands a proactive approach, excellent communication skills, and a commitment to accuracy, offering a foundational entry point into a rewarding career within a global manufacturing powerhouse. You will be responsible for the accurate preparation and processing of purchase orders for a wide array of goods and services, ensuring strict compliance with established company policies and procedures, as well as regulatory standards. A significant part of your role will involve effective communication, acting as the first point of contact for supplier inquiries, coordinating delivery schedules, and resolving minor discrepancies to ensure timely and accurate receipt of materials. You will also assist in tracking order statuses, following up on delayed shipments, and expediting urgent orders to prevent operational bottlenecks. Furthermore, you will contribute to the evaluation of supplier performance by providing data and feedback, helping to foster strong, productive relationships with our valued partners. This role also involves preparing routine procurement reports, assisting with inventory level monitoring, and performing general administrative duties within the department to ensure its smooth and efficient operation. Your dedication to thoroughness and your ability to manage multiple tasks concurrently will be key to your success and the overall efficiency of our procurement cycle.

Key Responsibilities

  • Prepare, issue, and process purchase orders (POs) for goods and services in accordance with company policies and procedures.
  • Maintain accurate and up-to-date procurement records, files, and vendor databases.
  • Serve as the primary point of contact for supplier inquiries, coordinating communications and resolving basic issues.
  • Track the status of open purchase orders, follow up on delayed shipments, and expedite urgent orders.
  • Verify the accuracy of invoices against purchase orders and delivery notes, resolving discrepancies as needed.
  • Assist in the reconciliation of supplier statements and prepare reports on procurement activities.
  • Coordinate with internal departments (e.g., warehousing, finance) to ensure timely receipt and payment of goods/services.
  • Contribute to the evaluation of supplier performance by gathering and providing relevant data.
  • Perform general administrative tasks to support the overall efficiency of the procurement department.
  • Ensure compliance with all relevant procurement policies, procedures, and ethical standards.

Required Skills

  • Proven experience in an administrative or clerical role, preferably within procurement or supply chain.
  • Strong organizational skills with exceptional attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Basic understanding of procurement processes and principles.
  • High level of integrity and confidentiality.

Preferred Qualifications

  • A National Diploma (ND) or Higher National Diploma (HND) in Business Administration, Supply Chain Management, or a related field.
  • Familiarity with Enterprise Resource Planning (ERP) systems, particularly SAP.
  • Certification in supply chain management or procurement (e.g., CIPS foundation level).
  • Local market knowledge of suppliers and logistics in Calabar and Cross River State.
