Job Description

We are seeking an exceptional and highly skilled CEO Assistant to provide comprehensive, confidential, and proactive support to our Chief Executive Officer. Key Responsibilities

  • Provide advanced, confidential administrative support to the Chief Executive Officer, including managing complex calendars, scheduling appointments, and coordinating extensive travel arrangements.
  • Act as the primary point of contact and gatekeeper for the CEO, screening calls, emails, and visitors, and expertly directing inquiries to appropriate departments or individuals.
  • Prepare, edit, and proofread highly sensitive documents, presentations, reports, and correspondence, ensuring accuracy, consistency, and adherence to company standards.
  • Organise and facilitate high-level meetings, including Board meetings, executive team meetings, and external stakeholder engagements, encompassing agenda preparation, minute-taking, and follow-up on action items.
  • Conduct research, compile data, and prepare summaries or reports as requested by the CEO, demonstrating strong analytical and critical thinking skills.
  • Manage and maintain confidential files, records, and information with the utmost discretion and integrity.
  • Assist with special projects and initiatives as assigned, demonstrating flexibility and adaptability.
  • Process expenses, manage invoices, and handle other financial administration pertinent to the CEO's office.
  • Foster positive relationships with internal colleagues, external partners, and stakeholders.
  • Oversee office supplies and equipment for the CEO's office, ensuring smooth operations.

Required Skills

  • Minimum of 5 years of experience supporting C-suite executives or senior leadership in a complex organisation.
  • Exceptional organisational and time management skills, with the ability to prioritise effectively under pressure.
  • Demonstrated ability to handle highly confidential information with impeccable discretion and integrity.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant business software.
  • Superior written and verbal communication skills, with keen attention to detail and grammar.
  • Proven problem-solving abilities and a proactive, results-oriented approach.
  • Strong interpersonal skills with the ability to build rapport and communicate effectively with diverse stakeholders.
  • Ability to work independently, exercise sound judgment, and take initiative.

Preferred Qualifications

  • A degree or relevant professional qualification in Business Administration, Secretarial Studies, or a related field.
  • Experience within the public sector, housing, or a similarly regulated environment.
  • Familiarity with governance structures and board-level administration.
  • Project management support experience.
