As our Office Manager, you will be instrumental in ensuring the smooth daily running of our busy office, coordinating a wide array of administrative and operational functions. You will be the first point of contact for many, managing everything from incoming communications and scheduling to overseeing supplies and facilities. Beyond the tangible tasks, a significant part of your role will involve supporting our compassionate team. Key Responsibilities

  • Oversee and manage daily office operations, ensuring efficiency and smooth workflow.
  • Manage administrative staff, including training, scheduling, performance monitoring, and fostering team cohesion.
  • Develop and implement office policies and procedures to improve operational effectiveness.
  • Manage office budgets, track expenses, and oversee basic financial reconciliation.
  • Handle facilities management, including maintenance, repairs, and liaison with service providers.
  • Administer HR-related tasks such as onboarding new employees, maintaining personnel records, and coordinating staff training and development.
  • Manage office supplies, equipment inventory, and procurement processes.
  • Act as the primary point of contact for internal and external communications, including phone calls, emails, and visitors.
  • Organise and schedule meetings, appointments, and company events.
  • Prepare reports, presentations, and correspondence as required by senior management.
  • Ensure compliance with health and safety regulations and other relevant legislative requirements.
  • Identify and implement opportunities for process improvement and technological integration within the office.

Required Skills

  • Proven experience as an Office Manager or in a similar senior administrative role.
  • Exceptional organisational and time management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and office management software.
  • Strong leadership and team management abilities.
  • Excellent written and verbal communication skills.
  • High level of attention to detail and accuracy.
