Job Description
We are seeking a dedicated and organized Administrative Support Staff member to join our dynamic team at the Waianae Coast Comprehensive Health Center. Key Responsibilities
- Provide comprehensive administrative and clerical support to assigned departments and staff, including scheduling, correspondence, and report generation.
- Manage incoming and outgoing communications, including answering phones, directing calls, taking messages, and handling mail and email correspondence efficiently and professionally.
- Organize and maintain physical and electronic filing systems, ensuring accuracy, confidentiality, and easy retrieval of documents.
- Assist with data entry, record-keeping, and updating various databases to ensure information is current and accessible.
- Prepare and format documents, presentations, and reports using various software applications (e.g., Microsoft Office Suite).
- Coordinate and schedule meetings, appointments, and events, including preparing agendas, taking minutes, and arranging logistical details.
- Order and maintain office supplies and equipment, ensuring adequate stock levels and proper functioning.
- Assist with basic accounting tasks such as processing invoices, expense reports, and petty cash management.
- Greet visitors and provide general information, maintaining a professional and welcoming front office environment.
- Collaborate with other administrative staff to ensure seamless office operations and provide backup support as needed.
- Adhere to all organizational policies, procedures, and HIPAA regulations regarding patient confidentiality and data security.
Required Skills
- High School Diploma or GED equivalent
- Minimum of 2 years of experience in an administrative or office support role
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Excellent written and verbal communication skills
- Strong organizational and time management abilities
- Ability to multitask and prioritize tasks effectively in a fast-paced environment
- Demonstrated attention to detail and accuracy
- Professional demeanor and strong interpersonal skills
Preferred Qualifications
- Associate’s or Bachelor’s degree in Business Administration or a related field
- Experience working in a healthcare or non-profit setting
- Familiarity with electronic health records (EHR) systems
- Bilingual proficiency (e.g., Hawaiian, Tagalog, Samoan) is a plus, though not required
