As our Office Receptionist, you will be the welcoming face and voice of our firm, creating a positive and professional atmosphere for all visitors and callers. Your day will involve expertly managing a busy multi-line phone system with grace and efficiency, directing inquiries to the appropriate departments or individuals while maintaining a helpful, courteous, and confidential demeanor. Beyond telephone duties, you will manage incoming and outgoing mail, meticulously handle package deliveries, and play a key role in ensuring the reception area and common spaces remain tidy, presentable, and reflective of our firm’s high standards. You’ll also be responsible for scheduling conference rooms and coordinating meetings, ensuring smooth transitions throughout the day.

This includes assisting with the preparation of legal documents, precise data entry, managing attorney calendars by scheduling appointments, and proactively monitoring and maintaining office supplies to ensure seamless operations. Key Responsibilities
- Expertly manage a multi-line phone system, directing calls and taking accurate messages.
- Greet and welcome clients and visitors with a professional and friendly demeanor.
- Maintain the reception area, ensuring it is tidy, organized, and presentable.
- Manage incoming and outgoing mail, packages, and deliveries.
- Schedule and coordinate meetings, appointments, and conference room usage.
- Provide administrative support to various legal teams, including document preparation and data entry.
- Maintain and order office supplies, ensuring adequate stock levels.
- Assist with basic bookkeeping tasks and expense reporting as needed.
- Uphold strict confidentiality and discretion with all firm and client information.
- Assist with special projects and other administrative tasks as assigned.
