Key Responsibilities
- Serve as the primary point of contact for the corporate branch, greeting visitors, answering phones, and managing incoming correspondence.
- Provide comprehensive administrative support to the Branch Manager and real estate agents, including scheduling appointments, preparing documents, and managing calendars.
- Oversee office operations, ensuring the office environment is organized, clean, and well-maintained.
- Manage office supplies inventory, place orders, and coordinate maintenance for office equipment.
- Assist with the onboarding process for new agents, ensuring they have necessary resources and support.
- Maintain accurate digital and physical filing systems for client records, transactional documents, and administrative files.
- Coordinate branch meetings, events, and training sessions, including room setup and material preparation.
- Process incoming and outgoing mail and packages efficiently.
- Support marketing initiatives for the branch, such as preparing flyers, managing social media updates, and distributing promotional materials.
- Handle basic accounting tasks, such as processing invoices, expense reports, and tracking office budgets.
- Ensure compliance with company policies and real estate regulations.
- Troubleshoot minor IT issues or coordinate with IT support for larger problems.
- Contribute to a positive and productive office culture through proactive communication and team support.
Required Skills
- Proven experience as an Office Administrator, Office Manager, or Administrative Assistant (minimum 2 years).
- Exceptional organizational and time management skills with the ability to multitask and prioritize effectively.
