Key Responsibilities
- Manage and maintain complex calendars and schedules for leadership and teams, anticipating needs and proactively resolving conflicts.
- Coordinate and schedule meetings, including room booking, catering arrangements, and ensuring seamless technology setup (e.g., video conferencing, presentation equipment).
- Prepare, proofread, and format reports, presentations, proposals, and other confidential documents using Microsoft Office Suite with high accuracy and professionalism.
- Handle incoming and outgoing communications, including emails, phone calls, and mail, with professionalism, discretion, and efficient routing.
- Organize and maintain both physical and electronic filing systems, ensuring all information is accurate, secure, and easily accessible.
- Assist with comprehensive travel arrangements, including flight, hotel, and ground transportation, and process expense reports for team members.
- Order and manage office supplies, inventory, and equipment, ensuring adequate stock levels and liaising with vendors as needed.
- Support new employee onboarding logistics, including workstation setup, access provisioning, and orientation assistance.
- Serve as a primary point of contact for office visitors and external vendors, providing a welcoming and professional first impression.
- Undertake special projects and ad-hoc administrative tasks as assigned by management, demonstrating adaptability and initiative.
Required Skills
- Proven experience (minimum 2 years) as an Administrative Assistant, Executive Assistant, or similar high-level administrative support role.
- Exceptional proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) with advanced formatting and functional skills.
- Excellent written and verbal communication skills, with the ability to articulate clearly and professionally across all levels.
