Key Responsibilities
- Accurately input and update shipping and logistics data into the company's enterprise resource planning (ERP) systems and other specialized software.
- Process and file various shipping documents, including Bill of Lading (BOL), manifests, customs declarations, cargo releases, and delivery orders.
- Assist in tracking and monitoring the movement of cargo, containers, and vessels, ensuring all relevant information is current and accessible.
- Communicate effectively with internal departments (e.g., operations, finance, customer service) and external stakeholders (e.g., clients, shipping lines, customs agents) to resolve discrepancies and gather necessary information.
- Generate and distribute routine reports related to cargo status, inventory levels, and operational performance.
- Ensure strict adherence to company policies, industry regulations, and international shipping standards.
- Perform general administrative duties such as scanning, photocopying, and maintaining an organized filing system for all logistics documentation.
- Proactively identify and report any data inconsistencies or potential issues that could impact logistics operations.
Required Skills
- Proficiency in Microsoft Office Suite, especially Excel for data management and Word for documentation.
- Exceptional data entry speed and accuracy with a strong attention to detail.
- Strong organizational and time management skills, with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills in English.
- Ability to work efficiently in a fast-paced and high-pressure environment.
- A proactive attitude and a willingness to learn new systems and procedures.
- Basic understanding of logistics and supply chain principles.
Preferred Qualifications
- Ordinary National Diploma (OND) or Higher National Diploma (HND) in Logistics, Supply Chain Management, Business Administration, or a related field.
- Prior internship or entry-level experience (6-12 months) in a logistics, shipping, or administrative role.
- Familiarity with logistics software or ERP systems is a plus.
- Basic knowledge of port operations and customs procedures.
