Job Description
We are actively seeking a diligent and detail-oriented Export Clerk to join our dynamic team at our bustling port office in Calabar. This crucial role is instrumental in ensuring the smooth and efficient processing of all export shipments, upholding stringent regulatory compliance, and facilitating seamless client operations from start to finish. As an Export Clerk, you will be at the heart of our logistics operations, responsible for meticulously managing comprehensive shipment documentation – from the initial booking to the final destination. This position demands a keen eye for accuracy, exceptional organizational skills, and a proactive approach to problem-solving within a fast-paced, high-volume environment. Key Responsibilities
- Prepare, process, and manage all necessary export documentation, including Bills of Lading, shipping instructions, customs declarations, cargo manifests, certificates of origin, packing lists, and other relevant paperwork in a timely and accurate manner.
- Ensure strict compliance with all local and international shipping regulations, customs procedures, trade agreements, and company policies, keeping abreast of any changes.
- Liaise effectively and professionally with shipping lines, port authorities, freight forwarders, customs officials, and other stakeholders to coordinate shipment movements and swiftly resolve any discrepancies or issues that may arise.
- Communicate regularly and transparently with clients, providing timely updates on shipment status, documentation requirements, and addressing any inquiries or concerns promptly and professionally, building strong client relationships.
- Maintain accurate, organized, and up-to-date records of all export activities, documentation, and communications in our internal systems and physical archives.
- Assist in the calculation and verification of freight charges, port fees, duties, and other associated costs, ensuring accurate invoicing and cost control.
- Coordinate closely with warehouse and operations teams to confirm cargo readiness, optimize loading schedules, and ensure proper handling and stowage of goods.
- Monitor shipment progress from departure at the port of origin to arrival at the final destination, proactively identifying and resolving potential delays or operational issues.
- Contribute to continuous improvement initiatives within the export documentation process to enhance efficiency, reduce errors, and improve overall service delivery.
Required Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) for data management and communication.
- Strong attention to detail and unwavering accuracy in data entry and documentation handling.
- Excellent written and verbal communication skills, with the ability to articulate clearly and concisely.
- Ability to work effectively under pressure and manage multiple tasks and deadlines simultaneously in a dynamic environment.
- Strong organizational and time management abilities, with a proven capacity for prioritization.
- A proactive problem-solving aptitude with a methodical and logical approach to challenges.
- Basic knowledge of international shipping terms (Incoterms), customs procedures, and export regulations.
Preferred Qualifications
- A National Diploma (ND), Higher National Diploma (HND), or Bachelor’s Degree in Logistics, Supply Chain Management, Business Administration, International Trade, or a related field.
- Minimum of 2 years of proven experience as an Export Clerk or in a similar documentation role within a shipping line, freight forwarder, or logistics company.
- Familiarity with Calabar port operations and the local regulatory environment governing exports.
- Experience with industry-specific software for documentation, tracking, and customs clearance.
- Ability to work independently as well as collaboratively within a team setting.
