ARR Craib Transport Ltd. is seeking a dedicated and experienced Dispatcher to join our dynamic team in Peterculter, Aberdeen. As a Dispatcher – Delivery & Transport Control, you will be the central nervous system of our operations, responsible for the efficient planning, scheduling, and real-time management of our delivery fleet. Key Responsibilities

  • Plan and schedule daily delivery routes for a fleet of vehicles, optimizing for efficiency, cost-effectiveness, and timely delivery targets.
  • Allocate drivers and vehicles to specific routes, meticulously considering vehicle capacity, driver availability, legal driving hours, and precise customer requirements.
  • Monitor ongoing deliveries in real-time using advanced GPS tracking and telematics systems, proactively addressing any deviations, potential delays, or unforeseen issues.
  • Communicate effectively and precisely with drivers, providing clear instructions, ongoing support, and timely updates throughout their shifts to ensure smooth operations.
  • Liaise professionally with customers to confirm delivery schedules, provide accurate updates, and swiftly resolve any service-related queries or emerging issues.
  • Coordinate closely with warehouse and loading bay teams to ensure correct cargo loading, secure dispatch, and timely departure of vehicles.
  • Respond promptly and decisively to unexpected operational challenges, such as breakdowns, accidents, traffic congestion, or urgent delivery requests, devising effective and practical solutions.
  • Maintain accurate and detailed records of routes, deliveries, driver hours, fuel consumption, and operational incidents for reporting and compliance purposes.
  • Ensure strict compliance with all relevant transport legislation, including driver hours regulations (WTD), tachograph laws, and comprehensive health and safety standards.
  • Generate daily, weekly, and monthly reports on dispatch performance, identifying key performance indicators (KPIs), areas for improvement, and efficiency gains.
  • Collaborate actively with the management team and other departments to implement best practices, continuous improvement initiatives, and new technologies in transport operations.

Required Skills

  • Proven experience (minimum 2 years) as a Dispatcher, Transport Planner, or similar role in a fast-paced logistics or transportation environment.
  • Excellent geographical knowledge, particularly of the UK road network and detailed local Aberdeen and surrounding areas.
  • Proficiency in using dispatching software, route optimization tools, and advanced GPS tracking systems (e.g., TomTom Telematics, Mandata, HaulTech).
  • Strong communication and interpersonal skills, capable of clear, concise, and persuasive interaction with drivers, colleagues, and customers.
  • Exceptional organizational and time management abilities, with a keen eye for detail and the capacity to manage multiple priorities simultaneously.
  • Demonstrated ability to make quick, sound decisions under pressure and effectively prioritize tasks in a dynamic operational setting.
  • Solid understanding of transport legislation, including driver hours regulations (WTD), tachograph analysis, and vehicle maintenance schedules.
  • Competent in Microsoft Office Suite (Excel for data analysis, Word for documentation, Outlook for communication).
  • Problem-solving aptitude with a proactive, analytical, and logical approach to overcoming operational hurdles.
  • Ability to work effectively both independently and as part of a collaborative team in a fast-paced, high-volume environment.

Preferred Qualifications

  • A relevant qualification (e.g., HNC/HND, Degree) in Logistics, Supply Chain Management, Business Administration, or a related field.
  • CPC (Certificate of Professional Competence) in Road Haulage Operations is highly desirable.
  • Experience with specific transport management systems (TMS) widely used in the industry.
  • Familiarity with various HGV vehicle types, capacities, and their operational constraints.
  • Previous experience working in a busy haulage, pallet network, or parcel delivery environment.
  • First Aid certification or knowledge of basic emergency procedures.
  • Knowledge of health and safety protocols specific to transport and warehousing.
