Job Description
We are seeking a highly organized, professional, and customer-focused Receptionist to join our team in Old Harbour. This critical front-line role is essential for creating a welcoming and efficient environment for all visitors and callers to our office. As the first point of contact, you will play a pivotal role in shaping the perception of JPSCo, ensuring every interaction is positive and reflects our commitment to service excellence. Beyond managing the front desk, you will provide comprehensive administrative support to various departments, contributing to the smooth daily operations of our Old Harbour branch. This role requires exceptional communication skills, a proactive approach to problem-solving, and the ability to multitask effectively in a fast-paced environment. Key Responsibilities
- Warmly greet and welcome all visitors, clients, and employees, directing them to the appropriate person or department.
- Manage and direct incoming telephone calls, taking messages, and ensuring inquiries are handled promptly and professionally.
- Maintain a tidy, organized, and professional reception area at all times, ensuring a positive first impression.
- Sort and distribute incoming mail and packages, and prepare outgoing mail and courier services.
- Schedule and coordinate meetings, appointments, and conference room bookings, managing calendars as required.
- Provide general administrative and clerical support, including data entry, filing, scanning, and photocopying.
- Assist with the preparation of documents, reports, and presentations using Microsoft Office Suite (Word, Excel, PowerPoint).
- Monitor and order office supplies, ensuring adequate stock levels are maintained.
- Assist with coordinating office events, staff luncheons, and other internal activities.
- Handle sensitive information with confidentiality and discretion.
- Support other departments with ad-hoc administrative tasks as needed.
Required Skills
- Minimum of 2 years of experience in a receptionist, administrative assistant, or similar front-desk role.
- Excellent verbal and written communication skills in English.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational and time management abilities with keen attention to detail.
- Exceptional interpersonal skills and a professional, approachable demeanor.
- Ability to multitask and prioritize tasks effectively in a busy environment.
- Proven ability to maintain confidentiality and handle sensitive information with integrity.
- High school diploma or equivalent.
Preferred Qualifications
- Associate’s Degree or vocational certificate in Office Administration, Business Management, or a related field.
- Previous experience working in the utilities or a customer service-oriented industry.
- Familiarity with office equipment such as multi-line phone systems, fax machines, and photocopiers.
- Basic knowledge of office management systems and procedures.
