As a Payroll Assistant, you will play a crucial role in ensuring the accurate and timely processing of payroll for our diverse client base. Key Responsibilities

  • Process multi-state payroll for a diverse client portfolio on a weekly, bi-weekly, and semi-monthly basis.
  • Ensure accuracy of all payroll data, including hours worked, deductions, taxes, and other payroll-related information.
  • Prepare and submit payroll reports, including federal and state tax filings (941, W-2, etc.), in a timely manner.
  • Respond to and resolve payroll inquiries from clients and employees promptly and professionally.
  • Maintain up-to-date knowledge of federal and state payroll laws, regulations, and reporting requirements.
  • Reconcile payroll accounts and general ledger entries related to payroll.
  • Assist with year-end payroll procedures and reporting.
  • Onboard new clients to the payroll system and set up employee records.
  • Collaborate with HR and accounting teams to ensure seamless information flow.
  • Handle confidential payroll information with the highest level of discretion and integrity.
  • Participate in ongoing training and professional development to enhance payroll expertise.

Required Skills

  • Proven experience as a Payroll Assistant or in a similar payroll-related role (minimum 2 years).
  • Solid understanding of payroll processes, procedures, and relevant legislation (federal, state, and local).
  • Proficiency in payroll software (e.g., ADP, Paychex, QuickBooks Payroll) and Microsoft Office Suite (especially Excel).
  • Exceptional attention to detail and strong organizational skills.
  • Ability to handle confidential information with discretion.
  • Excellent communication and interpersonal skills, both written and verbal.
  • Strong problem-solving abilities and a proactive approach to issue resolution.
  • Ability to work independently and as part of a team in a fast-paced environment.

Preferred Qualifications

  • Associate's or Bachelor's degree in Accounting, Finance, or a related field.
  • Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) is a plus.
  • Experience with multi-client or accounting firm payroll processing.
  • Familiarity with various timekeeping systems.
  • Experience with general ledger reconciliation.
