Key Responsibilities

  • Manage and maintain office supplies, inventory, and equipment, ensuring timely replenishment and efficient stock levels.
  • Coordinate effectively with external vendors for maintenance, repairs, cleaning services, catering, and other facility-related needs.
  • Assist in setting up and preparing meeting rooms, event spaces, and common areas for daily use and special functions.
  • Oversee incoming and outgoing mail, packages, and deliveries, ensuring accurate distribution and dispatch.
  • Ensure strict adherence to health, safety, and security protocols and procedures within the office premises.
  • Support office relocation projects, internal moves, and space planning initiatives as required.
  • Act as a primary point of contact for employee requests related to general office services, addressing issues promptly and professionally.
  • Contribute actively to creating a welcoming, productive, and comfortable environment for all employees and visitors.
  • Perform regular checks of office facilities, identifying and reporting any maintenance issues or areas requiring attention.
  • Assist with various general administrative tasks as needed to support the wider operations and administrative teams.

Required Skills

  • Strong organizational and time management skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Excellent communication and interpersonal abilities, both written and verbal, for interacting with staff and vendors.
  • A proactive and resourceful approach to problem-solving, with a keen eye for detail.
  • Proficiency in basic computer applications (e.g., Microsoft Office Suite, Google Workspace).
  • Ability to work independently as well as collaboratively and harmoniously within a team.
  • High level of attention to detail and accuracy in all tasks.
  • A strong customer service-oriented mindset.
  • Fluency in English (both written and spoken).

Preferred Qualifications

  • Previous experience in an office administrative, customer service, or hospitality role is a significant plus.
  • Familiarity with facility management software or systems is an advantage.
  • Knowledge of Hebrew is an advantage, but not strictly required for this role.
  • A diploma or degree in Business Administration, Hospitality Management, or a related field.
