Your primary focus will be on managing client documentation, liaising with various stakeholders including lenders and solicitors, and providing crucial administrative support from initial enquiry through to completion. Key Responsibilities

  • Manage and organise all client documentation required for mortgage applications, ensuring accuracy and completeness.
  • Liaise proactively with clients, lenders, solicitors, and other third parties to chase outstanding information and provide updates.
  • Prepare and submit mortgage applications, ensuring all data is accurately input into CRM systems and lender portals.
  • Conduct thorough checks on application forms and supporting documents to identify discrepancies or missing information.
  • Maintain up-to-date client records and application progress in the company's CRM system (e.g., Salesforce, Zoho CRM).
  • Assist Mortgage Advisors in preparing client suitability letters and other regulatory documentation.
  • Handle inbound client queries via phone and email, providing clear and concise information regarding their application status or documentation needs.
  • Ensure all processes adhere to regulatory guidelines (e.g., FCA) and company compliance policies.
  • Support the post-offer administrative process through to mortgage completion.
  • Identify opportunities to improve administrative efficiency and client experience within the mortgage application journey.

Required Skills

  • Proven experience in an administrative or support role, ideally within financial services or a similar regulated environment.
  • Exceptional organisational skills with meticulous attention to detail.
  • Strong verbal and written communication skills, capable of professional interaction with clients and colleagues.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with CRM software.
  • Ability to manage multiple tasks simultaneously and prioritise effectively under pressure.
  • A proactive, 'can-do' attitude and a strong commitment to client satisfaction.
  • Understanding of the importance of compliance and data protection.

Preferred Qualifications

  • CeMAP (Certificate in Mortgage Advice and Practice) qualification or working towards it.
  • Previous experience specifically within mortgage administration, mortgage processing, or a mortgage advisor support role.
  • Familiarity with various mortgage products and lender criteria.
  • Knowledge of financial services regulations (e.g., FCA guidelines).
