Key Responsibilities
- Manage patient scheduling, appointments, and follow-ups efficiently using our practice management software.
- Greet patients warmly, manage check-ins and check-outs, and ensure a positive first impression.
- Handle all incoming calls, emails, and correspondence, directing inquiries appropriately.
- Process patient registrations, update records, and ensure accuracy and confidentiality of all patient data.
- Manage billing, insurance verification, co-pays, and payment processing, resolving any discrepancies.
- Maintain an organized and tidy reception area and overall office environment.
- Order, stock, and manage office and medical supplies, ensuring adequate inventory levels.
- Assist with marketing efforts, including managing social media presence and patient communication.
- Support chiropractors and other clinical staff with administrative tasks as needed.
- Prepare daily reports, reconcile payments, and assist with general bookkeeping tasks.
- Ensure compliance with all relevant healthcare regulations, including HIPAA.
Required Skills
- Minimum of 2 years of experience in an administrative or office management role, preferably in a healthcare or medical office setting.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Exceptional organizational and time-management skills with the ability to prioritize tasks effectively.
- Strong verbal and written communication skills.
- Excellent interpersonal skills and a patient-first attitude.
- Proven ability to work independently and as part of a team.
- High level of discretion and commitment to maintaining patient confidentiality (HIPAA compliance).
- Problem-solving skills and a proactive approach to office operations.
Preferred Qualifications
- Associate's or Bachelor's degree in Business Administration, Healthcare Administration, or a related field.
- Experience with chiropractic specific practice management software (e.g., ChiroFusion, ChiroTouch, Practice Fusion).
- Familiarity with medical billing and coding procedures.
- Basic understanding of health insurance processes and claims.
