Key Responsibilities

  • Manage complex calendars, scheduling appointments and meetings, and resolving scheduling conflicts efficiently.
  • Coordinate domestic and international travel arrangements, including flights, hotels, ground transportation, and visa applications.
  • Prepare and submit expense reports accurately and in a timely manner, ensuring compliance with company policies.
  • Organize and coordinate virtual and in-person meetings, including preparing agendas, taking minutes, and distributing materials.
  • Draft, proofread, and edit correspondence, reports, presentations, and other documents with precision and discretion.
  • Handle confidential and sensitive information with the highest level of integrity and discretion.
  • Serve as a primary point of contact, screening calls, responding to inquiries, and redirecting as appropriate.
  • Maintain organized filing systems, both digital and physical, for easy retrieval of documents.
  • Order and manage office supplies, ensuring the smooth operation of the office environment.
  • Assist with special projects, research tasks, and data entry as required by the executive team.
  • Facilitate communication between various departments and external partners to ensure smooth information flow.

Required Skills

  • Proven experience as an Administrative Executive, Executive Assistant, or similar advanced administrative role.
  • Exceptional organizational and time management skills with the ability to prioritize and multitask effectively.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
  • Superior written and verbal communication skills, with keen attention to detail.
  • Demonstrated ability to maintain confidentiality and exercise sound judgment and discretion.
  • Proactive problem-solving abilities and a strong sense of initiative.
