Optimus Health Care is seeking a dedicated On-site Office Clerk for our Front Office in South End, Bridgeport. In this crucial full-time role, you will be the first point of contact for our patients and visitors, setting the tone for their experience with Optimus Health Care. Key Responsibilities
- Warmly greet and welcome patients and visitors, ensuring a positive first impression and providing clear directions or assistance as needed.
- Efficiently manage incoming phone calls, directing inquiries, taking accurate messages, and providing general information about our services.
- Schedule, confirm, and reschedule patient appointments, maintaining organized appointment calendars using our scheduling system.
- Perform patient registration duties, including collecting and verifying demographic information, insurance details, and necessary forms with accuracy.
- Maintain and organize patient records with strict adherence to confidentiality protocols, including HIPAA regulations.
- Process incoming and outgoing mail, faxes, and general correspondence accurately and promptly.
- Manage office supplies inventory, placing orders as needed to ensure smooth operations and prevent shortages.
- Assist with general administrative tasks such as data entry, filing, scanning, and photocopying to support the broader office team.
- Maintain the cleanliness and organization of the reception area to ensure a professional, comforting, and welcoming environment for all.
- Collaborate effectively with medical staff, nurses, and other administrative personnel to support patient flow and operational efficiency.
Required Skills
- Exceptional verbal and written communication skills with a professional, empathetic, and compassionate demeanor.
- Strong organizational skills and meticulous attention to detail, capable of managing multiple tasks simultaneously without compromising accuracy.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general computer literacy for administrative tasks and record keeping.
- Demonstrated customer service experience, with a patient-first attitude and the ability to de-escalate situations calmly.
- Ability to maintain composure and professionalism in a busy and dynamic office environment, handling pressure effectively.
- High level of integrity and discretion when handling sensitive patient information, adhering strictly to privacy guidelines.
- Proven ability to work both independently and as part of a collaborative team, contributing positively to group efforts.
Preferred Qualifications
- Associate's degree or certificate in Medical Office Administration or a related field.
- Previous experience (6+ months) in a medical office, clinic, or healthcare setting.
- Familiarity with electronic health records (EHR) systems, particularly eClinicalWorks or similar platforms.
- Bilingual proficiency (English/Spanish) is highly desirable due to our diverse patient population.
