Relish Catering & Events is seeking a dedicated and dynamic On-site Event Coordinator – Setup Crew to join our growing team in Gunbarrel, Boulder. This unique dual-role position is perfect for someone who loves the thrill of event execution, enjoys hands-on work, and possesses strong organizational and leadership skills. You will be instrumental in transforming visions into reality, ensuring every aspect of our events – from corporate functions to elegant weddings – is executed flawlessly from concept to completion.
As an On-site Event Coordinator, you will act as a crucial link between our clients, our culinary team, and our event staff, ensuring seamless communication and coordination on event day. You’ll manage timelines, oversee vendor logistics, and resolve any on-site challenges with grace and efficiency. Beyond the coordination, your role as Setup Crew will involve active, physical participation in the preparation, setup, and breakdown of event spaces. This includes everything from arranging tables and chairs, setting up elaborate decor, managing audio-visual equipment placement, to ensuring all catering stations are perfectly presented.

Key Responsibilities
- Serve as the primary on-site contact for clients, vendors, and event staff, ensuring clear communication and smooth execution.
- Oversee the complete setup, breakdown, and cleanup of event spaces, including furniture arrangement, decor, and equipment placement.
- Actively participate in the physical setup and breakdown tasks, including lifting, carrying, and arranging items up to 50 lbs.
- Manage event timelines and schedules, ensuring all activities adhere to the planned itinerary.
- Troubleshoot and resolve any on-site issues or emergencies promptly and professionally.
- Coordinate with the culinary team for food and beverage presentation and service logistics.
- Conduct pre-event checks to ensure all elements are in place and meet quality standards.
- Supervise temporary staff or crew members during event execution.
- Maintain inventory of event supplies and equipment, reporting any damages or shortages.
- Ensure compliance with all safety regulations and company policies during event operations.
Required Skills
- Excellent organizational and time management skills.
- Strong communication and interpersonal abilities, with a customer-centric approach.
- Ability to lift up to 50 lbs and stand/walk for extended periods in various indoor and outdoor settings.
- Proficiency in problem-solving and quick decision-making under pressure.
- Valid driver's license and reliable transportation for travel to various event locations.
- Basic understanding of event logistics and production.
- Strong attention to detail and a commitment to delivering high-quality service.
- Ability to work flexible hours, including evenings, weekends, and holidays, as required by event schedules.
Preferred Qualifications
- 2+ years of experience in event coordination, catering, hospitality, or a related field.
- Experience with event setup, decor, or staging.
- Knowledge of health and safety regulations pertinent to event operations.
- CPR and First Aid certification.
- Familiarity with Boulder/Denver area event venues and local vendors.
