As an On-site Event Coordinator, you will act as a crucial link between our clients, our culinary team, and our event staff, ensuring seamless communication and coordination on event day. Beyond the coordination, your role as Setup Crew will involve active, physical participation in the preparation, setup, and breakdown of event spaces. Key Responsibilities

  • Serve as the primary on-site contact for clients, vendors, and event staff, ensuring clear communication and smooth execution.
  • Oversee the complete setup, breakdown, and cleanup of event spaces, including furniture arrangement, decor, and equipment placement.
  • Actively participate in the physical setup and breakdown tasks, including lifting, carrying, and arranging items up to 50 lbs.
  • Manage event timelines and schedules, ensuring all activities adhere to the planned itinerary.
  • Troubleshoot and resolve any on-site issues or emergencies promptly and professionally.
  • Coordinate with the culinary team for food and beverage presentation and service logistics.
  • Conduct pre-event checks to ensure all elements are in place and meet quality standards.
  • Supervise temporary staff or crew members during event execution.
  • Maintain inventory of event supplies and equipment, reporting any damages or shortages.
  • Ensure compliance with all safety regulations and company policies during event operations.

Required Skills

  • Excellent organizational and time management skills.
  • Strong communication and interpersonal abilities, with a customer-centric approach.
  • Ability to lift up to 50 lbs and stand/walk for extended periods in various indoor and outdoor settings.
