Job Description

Key Responsibilities

  • Provide comprehensive administrative and logistical support to program teams, including scheduling meetings, preparing presentations, and managing correspondence.
  • Assist in the preparation, compilation, and distribution of program-related documents, reports, and proposals.
  • Maintain organized program files and databases, ensuring accuracy and accessibility of information.
  • Facilitate internal and external communication, including drafting emails, taking meeting minutes, and coordinating information flow between departments and field teams.
  • Support the organization of workshops, trainings, and events, including venue booking, participant coordination, and materials preparation.
  • Assist with basic data entry and analysis for program monitoring and evaluation purposes.
  • Provide translation support (English-Portuguese and vice versa) for documents and communications as needed.
  • Follow up on pending tasks and deadlines, ensuring timely completion of program activities.
  • Undertake other duties as assigned by senior program staff to support overall program objectives.

Required Skills

  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong verbal and written communication skills in both English and Portuguese.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • High level of attention to detail and accuracy.
  • Ability to work effectively in a multicultural and fast-paced environment.
  • Proactive attitude, with a strong sense of initiative and problem-solving.
  • Demonstrated commitment to humanitarian principles and values.

Preferred Qualifications

  • Bachelor's degree in Social Sciences, Public Health, International Relations, Development Studies, or a related field.
  • Previous administrative or volunteer experience in a non-profit or humanitarian organization.
  • Familiarity with project management tools or software.
  • Understanding of the humanitarian context in Mozambique or Southern Africa.
