Key Responsibilities
- Process purchase requisitions and convert them into purchase orders efficiently and accurately.
- Maintain and update procurement records, including vendor information, pricing, contracts, and delivery schedules.
- Assist in the preparation of bid documents, requests for proposals (RFPs), and tender submissions.
- Communicate effectively with suppliers regarding orders, deliveries, and payment inquiries.
- Conduct market research to identify potential suppliers and compare product specifications and prices.
- Monitor inventory levels and coordinate with relevant departments to ensure timely replenishment of supplies.
- Support the negotiation of terms and conditions with suppliers to achieve favorable agreements.
- Assist in evaluating supplier performance and maintaining a preferred vendor list.
- Resolve discrepancies with invoices, delivery receipts, and purchase orders in a timely manner.
- Generate regular procurement reports, analyzing spending patterns and identifying cost-saving opportunities.
- Ensure compliance with company procurement policies, ethical guidelines, and relevant industry regulations.
- Provide general administrative support to the procurement department as needed.
Required Skills
- Proven experience as a Procurement Assistant or in a similar purchasing role (minimum 2 years).
- Solid understanding of procurement and supply chain processes.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and procurement software/ERP systems.
- Excellent organizational and time management skills with the ability to prioritize tasks.
- Strong attention to detail and accuracy in data entry and documentation.
- Exceptional written and verbal communication skills.
- Ability to work independently and collaboratively within a team.

Preferred Qualifications
- Bachelor's degree in Supply Chain Management, Business Administration, Economics, or a related field.

- Knowledge of local Port Harcourt vendor networks and market dynamics.
- Ability to communicate in local languages (e.g., Ikwerre, Kalabari) is a plus.
