Job Description
We are seeking a highly organised, proactive, and friendly Administrative Receptionist to join our dedicated team at our Mosspark office. This pivotal dual-role position combines the welcoming presence of a front-desk receptionist with the problem-solving capabilities of a support desk administrator. You will be the first point of contact for our tenants and visitors, providing essential administrative support and handling a range of enquiries with efficiency and empathy. From managing the flow of our local office to supporting our community members with their housing needs, your role is crucial in ensuring the smooth operation of our services and delivering an exceptional customer experience. Key Responsibilities
- Greet and welcome visitors to the Mosspark office, ensuring a professional and friendly first impression.
- Manage incoming phone calls and emails, directing enquiries to the appropriate department or individual with accuracy and speed.
- Provide administrative support to the local housing team, including scheduling appointments, preparing documents, and managing correspondence.
- Act as a primary contact for tenant enquiries, logging issues, providing initial support, and escalating complex cases to relevant colleagues.
- Maintain organised filing systems, both digital and physical, ensuring data accuracy and compliance with confidentiality guidelines.
- Oversee office supplies inventory, placing orders as needed and ensuring the reception area remains tidy and presentable.
- Assist with basic IT troubleshooting for office equipment and guide visitors/tenants on digital access points.
- Process incoming and outgoing mail, parcels, and deliveries efficiently.
- Support the planning and execution of local community events and tenant engagement activities.
- Contribute to a positive team environment by assisting colleagues with ad-hoc administrative tasks as required.
Required Skills
- Proven experience in an administrative, receptionist, or customer service role.
- Excellent verbal and written communication skills, with a professional and friendly demeanour.
- Strong organisational abilities and attention to detail, with the capacity to manage multiple priorities effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- A compassionate and patient approach to handling enquiries, especially from individuals in diverse circumstances.
- Ability to work independently and as part of a team in a fast-paced environment.
- Demonstrable problem-solving skills and a proactive attitude.
Preferred Qualifications
- Previous experience working within a housing association, public sector, or social care environment.
- Familiarity with CRM systems or housing management software.
- Knowledge of the local Mosspark community and Glasgow services.
- SVQ Level 2 or 3 in Business Administration or a related field.
