Job Description
We are seeking a highly organized, proactive, and discreet Personal Assistant to provide comprehensive executive support in an office-based capacity to our Senior Leadership Team at our bustling Tejuosho, Yaba office. You will be at the heart of our operations, serving as the primary point of contact for internal and external stakeholders, managing sensitive information with the utmost confidentiality, and maintaining a high level of professionalism in all interactions. Key Responsibilities
- Provide comprehensive administrative and secretarial support to the Senior Leadership Team, ensuring all tasks are executed with precision and professionalism.
- Manage complex calendars, schedule appointments, and coordinate internal and external meetings, including preparing agendas and taking minutes.
- Arrange intricate domestic and international travel itineraries, including flights, accommodation, and ground transportation, ensuring all logistics are seamless.
- Prepare, edit, and format various documents, reports, presentations, and correspondence, ensuring accuracy and adherence to company branding guidelines.
- Act as a primary point of contact, screening calls, managing emails, and handling inquiries with discretion and efficiency.
- Organize and maintain physical and electronic filing systems, ensuring sensitive information is securely stored and easily retrievable.
- Process expense reports, manage invoices, and assist with budget tracking for the executive office.
- Coordinate and manage small-scale projects or events as assigned by the leadership team.
- Anticipate executive needs and proactively address potential issues, demonstrating initiative and problem-solving skills.
- Maintain strict confidentiality regarding all sensitive information and business matters.
- Facilitate effective communication flow within the executive office and between departments.
Required Skills
- Proven experience as a Personal Assistant, Executive Assistant, or similar role supporting senior management.
- Exceptional organizational and time management skills with the ability to prioritize effectively.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills in English.
- High level of discretion and ability to handle confidential information with integrity.
- Proactive attitude with strong problem-solving capabilities.
- Attention to detail and accuracy in all work performed.
