Job Description
We are seeking an experienced and meticulous Legal Secretary to join our bustling office in Coral Spring, Falmouth. Key Responsibilities
- Prepare, proofread, and format legal documents, correspondence, pleadings, and other legal forms with accuracy and efficiency.
- Manage and maintain extensive physical and electronic client files, ensuring confidentiality and easy retrieval.
- Schedule appointments, manage attorney calendars, and coordinate meetings, court dates, and travel arrangements.
- Act as the primary point of contact for clients, judges' chambers, opposing counsel, and other external parties, handling inquiries professionally.
- Process incoming and outgoing mail, faxes, and emails, distributing them appropriately.
- Assist with legal research, gathering relevant documents and information as requested by attorneys.
- Maintain office supplies inventory and ensure office equipment is functioning properly.
- Process invoices, expenses, and track billing information.
- Handle all administrative tasks, including answering phones, data entry, and record keeping.
- Ensure compliance with all legal and firm-specific protocols and procedures for document handling and office management.
Required Skills
- Minimum of 3 years of experience as a Legal Secretary or in a similar administrative role within a law firm.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal practice management software.
- Excellent typing speed and accuracy.
- Strong knowledge of legal terminology, court procedures, and document filing systems.
