Key Responsibilities
- Manage and direct incoming calls, taking accurate messages and ensuring timely delivery to the appropriate personnel.
- Handle incoming and outgoing mail, packages, and deliveries, distributing them appropriately and maintaining records.
- Maintain an organized and tidy office environment, including common areas, workstations, and meeting rooms, ensuring a professional appearance at all times.
- Assist with scheduling appointments, managing calendars, and coordinating meetings for senior staff and the wider team.
- Perform general administrative tasks such as filing, scanning, photocopying, and accurate data entry into company systems.
- Order and maintain office supplies, ensuring adequate stock levels and managing vendor relations for procurement.
- Greet and assist visitors in a professional and friendly manner, directing them to the appropriate personnel or providing necessary assistance.
- Provide comprehensive administrative support to various departments as needed, including preparing reports, presentations, and correspondence.
- Assist in organizing company events, internal meetings, and staff welfare activities to foster a positive work culture.
- Ensure the proper functioning of office equipment (printers, scanners, etc.) and coordinate maintenance or repairs when necessary.
- Assist with basic bookkeeping, expense tracking, and invoice processing as directed by management.
- Handle sensitive information with utmost discretion and maintain strict confidentiality in all tasks.
- Support the team with ad-hoc projects and tasks to ensure smooth operational flow.
