Job Description

We are seeking a highly organised, proactive, and discreet **Executive Assistant (Assistente Executivo)** to provide comprehensive administrative and executive support to our senior leadership team in Maputo. This pivotal role requires an individual with exceptional professionalism, impeccable communication skills in both English and Portuguese, and a proven ability to manage multiple priorities in a dynamic corporate environment. The successful candidate will be the linchpin for efficient executive operations, ensuring seamless coordination and execution of critical tasks, allowing our executives to focus on strategic initiatives.

As an Executive Assistant, you will be instrumental in maintaining the smooth operation of executive offices, managing complex calendars, orchestrating intricate travel plans, and preparing high-level presentations and reports. Key Responsibilities

  • Manage and maintain complex executive calendars, including scheduling meetings, appointments, and conferences.
  • Coordinate extensive domestic and international travel arrangements, including flights, accommodation, and itineraries.
  • Prepare and edit correspondence, communications, presentations, and other documents for executive review.
  • Act as a primary point of contact and liaison between executives and internal/external stakeholders.
  • Organise and facilitate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Handle confidential information with the highest level of discretion and integrity.
  • Process expense reports, invoices, and other financial documentation.
  • Support special projects and initiatives as directed by the executive team.
  • Maintain organised filing systems, both digital and physical.
  • Assist with data collection, research, and report generation.

Required Skills

  • Fluency in English and Portuguese (both written and verbal)
  • Minimum 4 years of proven experience as an Executive Assistant or similar role supporting senior management.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Exceptional organisational and time management skills.
  • Strong written and verbal communication abilities.
  • High level of discretion and ability to handle confidential information.
  • Proactive, resourceful, and problem-solving mindset.
  • Ability to work independently and as part of a team in a fast-paced environment.
