Key Responsibilities
- Serve as the primary point of contact for clients planning weddings, parties, and other social events.
- Conduct initial consultations, present event packages, and assist clients in customizing their event details, themes, and layouts.
- Develop and manage detailed event timelines, budgets, and checklists to ensure all deadlines and financial parameters are met.
- Coordinate all logistical aspects of events, including venue setup, décor, catering, entertainment, audiovisual equipment, and transportation.
- Liaise effectively with internal departments (Kitchen, Banqueting, Front Office, Housekeeping) to ensure seamless service delivery.
- Source, negotiate with, and manage external vendors (florists, photographers, musicians, rental companies) to ensure quality and cost-effectiveness.
- Oversee event execution on the day, addressing any issues promptly and professionally to ensure client satisfaction.
- Conduct post-event evaluations to gather feedback, identify areas for improvement, and maintain strong client relationships.
- Maintain up-to-date knowledge of industry trends, competitor offerings, and best practices in event planning.
- Prepare comprehensive proposals, contracts, and invoices for clients.
Required Skills
- Minimum 3 years of progressive experience in event planning, with a strong focus on weddings and social parties.
- Demonstrated ability to manage multiple projects simultaneously under tight deadlines.
- Exceptional communication, interpersonal, and negotiation skills.
- Proficiency in event management software and Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong organizational skills and meticulous attention to detail.
- Ability to work flexible hours, including evenings, weekends, and holidays, as dictated by event schedules.
- Proven track record of delivering outstanding customer service.
- Creative flair with a practical approach to problem-solving.
Preferred Qualifications
- Bachelor’s degree in Hospitality Management, Event Management, Marketing, or a related field.
- Certification in Event Planning (e.g., CMP, CSEP).
- Experience with Caribbean market wedding traditions and cultural events.
