Job Description

Steer Town Academy is seeking a highly organized, meticulous, and dedicated School Administrator to manage our dynamic office environment and oversee all aspects of our school’s vital records. This pivotal full-time role serves as the central hub for administrative excellence, ensuring the efficient and accurate handling of information crucial to the daily operations and long-term success of our institution. The successful candidate will be the primary point of contact for administrative inquiries, responsible for the integrity and confidentiality of student, staff, and general school records. Beyond the meticulous management of physical and digital documentation, this role demands a proactive individual who can streamline processes, enhance communication flow, and provide essential administrative support to our Principal, faculty, and the wider school community. Key Responsibilities

  • Oversee the daily operations of the school administrative office, ensuring efficient workflow and a welcoming environment.
  • Manage and maintain comprehensive student records, including admissions, attendance, academic performance, and disciplinary actions, ensuring accuracy, confidentiality, and compliance with privacy regulations.
  • Maintain confidential staff records, including personnel files, leave requests, professional development logs, and certification documentation.
  • Process and manage all incoming and outgoing school correspondence, emails, and phone calls, directing inquiries appropriately and professionally.
  • Prepare, proofread, and disseminate official school documents, reports, newsletters, announcements, and other communications to stakeholders.
  • Assist with the coordination of school events, parent-teacher meetings, graduation ceremonies, and other administrative activities, including logistical support.
  • Manage school supplies inventory, ensuring adequate stock levels, efficient ordering, and proper distribution to staff and classrooms.
  • Support the Principal and other senior staff with administrative tasks, scheduling, calendar management, and special project coordination.
  • Ensure compliance with local educational regulations, Ministry of Education guidelines, and internal school policies regarding record retention and data privacy.
  • Handle minor financial transactions such as fee collections, petty cash management, and basic reconciliation, under the guidance of the finance department.
  • Maintain and update the school's digital record systems, databases, and student information management platforms.
  • Provide excellent customer service to students, parents, staff, and visitors, acting as a knowledgeable and helpful first point of contact.

Required Skills

  • Proven experience in office administration or records management, preferably within an educational setting.
  • Exceptional organizational skills with a strong ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office software and tools.
  • Excellent written and verbal communication skills in English, with a strong command of grammar and spelling.
  • High level of attention to detail and accuracy in data entry, record-keeping, and document preparation.
  • Ability to maintain strict confidentiality and handle sensitive information with discretion and integrity.
  • Strong interpersonal skills, demonstrating professionalism, patience, and a positive demeanor when interacting with diverse groups.
  • Problem-solving abilities and a proactive approach to identifying and resolving administrative challenges.

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration, Office Management, Public Administration, or a related field.
  • Experience with specific school management software or student information systems (SIS).
  • Knowledge of the Jamaican educational system's administrative policies and procedures.
  • A minimum of 3 years of progressive experience in a similar administrative leadership or coordinator role.
