Job Description

Trident Seafoods is seeking an Administrative Coordinator to support various remote projects across our diverse departments. In this pivotal role, you will be instrumental in ensuring the seamless execution and coordination of project activities, providing crucial administrative support to project managers and team members who may be geographically dispersed. Key Responsibilities
- Coordinate and schedule virtual meetings, conferences, and presentations, including managing invitations, agendas, and technical setup for remote participants.
- Prepare, edit, and distribute project-related documents, reports, presentations, and correspondence, ensuring accuracy and adherence to company standards.
- Maintain and organize digital project files, databases, and document management systems (e.g., SharePoint, Teams), ensuring easy accessibility for team members.
- Assist project managers with tracking project timelines, milestones, and deliverables, proactively identifying potential bottlenecks or delays.
- Facilitate internal and external communication among project stakeholders, ensuring timely information dissemination and follow-up.
- Process expense reports, invoices, and other financial documentation related to project activities, adhering to budgetary guidelines.
- Conduct research and compile information as needed to support project planning and decision-making.
- Manage office supplies and equipment for remote team members as required, coordinating logistics and procurement.
- Onboard new remote project team members, ensuring they have access to necessary tools, systems, and documentation.
- Provide general administrative support as needed to ensure the smooth operation of various projects.
Required Skills
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams, SharePoint).
- Excellent written and verbal communication skills, with an emphasis on clarity and professionalism.
- Strong organizational and time management abilities, with a proven track record of managing multiple priorities.
- Demonstrated ability to work independently and proactively in a remote work setting.
- Experience with project management software or tools (e.g., Asana, Trello, Monday.com, Jira).
- Exceptional attention to detail and accuracy.
- Problem-solving skills and a resourceful approach to challenges.
- High level of integrity and ability to handle confidential information.
- Comfortable with video conferencing and collaboration technologies.
Preferred Qualifications
- Associate's or Bachelor's degree in Business Administration, Communications, or a related field.
- 2+ years of experience in a project coordination or senior administrative support role.
- Experience within the manufacturing, food processing, or logistics industries.
- Familiarity with corporate travel booking and expense management systems.
- Certification in project management (e.g., CAPM) or administrative professional (e.g., IAAP).
