As a Reception Coordinator at Brixton Dental Care, you will be the welcoming face and organizational backbone of our practice. Key Responsibilities

  • Greet and welcome patients in a warm, friendly, and professional manner, both in person and over the phone.
  • Manage the practice's appointment book efficiently, scheduling new appointments, rescheduling existing ones, and managing cancellations.
  • Handle all incoming calls and emails, addressing patient inquiries, providing information, and directing calls appropriately.
  • Register new patients accurately, collecting and updating all necessary personal and medical information.
  • Process patient payments, manage billing inquiries, and liaise with dental plan providers when necessary.
  • Maintain and organize patient records (both electronic and paper), ensuring confidentiality and compliance with data protection regulations.
  • Ensure the reception area is tidy, welcoming, and presentable at all times.
  • Liaise with dentists, hygienists, and dental nurses to ensure smooth patient flow and communication.
  • Assist with general administrative tasks, including ordering supplies, managing post, and preparing reports.
  • Explain treatment plans, costs, and payment options clearly to patients.
  • Manage patient recall systems to ensure continuity of care.
  • Handle patient complaints or concerns with empathy and efficiency, escalating when necessary.

Required Skills

  • Minimum of 1 year of experience in a dental practice or similar healthcare administrative role.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational and multitasking abilities with attention to detail.
  • Exceptional customer service and interpersonal skills.
  • Ability to work effectively both independently and as part of a team.
  • Discretion and respect for patient confidentiality.

Preferred Qualifications

  • Experience with dental practice management software (e.g., Dentally, SOE Exact).
  • Knowledge of CQC (Care Quality Commission) regulations and compliance.
  • Basic understanding of dental terminology and procedures.
  • First Aid certification.
